The Executive Assistant will provide high level administrative support for company leaders to ensure they can deliver on their priorities by assisting with communications, record keeping, accounting support, event planning, and ensuring confidential information stays private. The ideal candidate would be able to adapt the order of their workday to complete task/duties based on changing work situations and company priorities, as well as demonstrate initiative and proactive response to evolving needs.

Key Responsibilities

Supports the Chief Operating Officer and other organizational leaders in all related administrative tasks. 

  • Maintains a basic understanding of key business drivers and uses this understanding to accomplish own work.
  • Handle inquiries and requests, redirecting them as appropriate.
  • Communication and Correspondence:

Compose, edit, and proofread emails, memos, and other communications on behalf of the executive.

  • Record Keeping:

Maintain accurate and organized records, including confidential and sensitive information.

  • Accounting Support:

Assist with backend accounting tasks related to resolving and reconciling customer accounts.

  • Event Planning:

Coordinate internal and external events, including logistics, venue selection, and catering arrangements.

  • Phone Management:

Answer and screen phone calls in a professional and courteous manner.

Required Qualifications

Bachelor's degree from an accredited university or college (or a high school diploma / GED with 6+ years of experience.

  • US Citizen and will to submit to personal investigation for government security clearance
  • Communication Skills: Strong demonstrated written and verbal communication skills to effectively interact with internal and external stakeholders articulating complex ideas in an easy-to-understand manner.
  • Organizational Skills: Demonstrated project management skills and ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines.
  • Adaptability and Flexibility: Willingness to adjust to changing priorities and work demands to align with business priorities.
  • Technical Skills: Experience at an advanced level using Microsoft Word, PowerPoint, Outlook, and Excel applications as well as use of the internet and web applications (i.e. ability to draft correspondence and create PowerPoint presentations for leadership team) and a basic understanding of Excel to create charts, diagrams, and tables of data.
